National REFORMA Conference VIII Code of Conduct

Statement of Intent

Our Conference Code of Conduct (“Code of Conduct”) for the National REFORMA Conference VIII (“Conference”) aims to create an inclusive and respectful community for all conference participants. Conference participants including but not limited to attendees, speakers, volunteers, exhibitors, sponsors, and all others are expected to abide by the Code of Conduct at all Conference events, including those sponsored by REFORMA partners or held in conjunction with Conference events.

Purpose

The purpose of this Code of Conduct is to establish a culture of professionalism, courtesy, respect, and inclusivity in all interactions among Conference participants. Each conference participant is accountable for the content they present, conversations and commentary they take part in, and behavior toward other conference participants, volunteers, exhibitors, and venue staff.

Code of Conduct

The Conference Steering Committee has zero tolerance for any form of discrimination or harassment, including but not limited to sexual harassment. If you experience harassment or hear of any incidents of unacceptable behavior, we ask that you inform the Conference Chairs by emailing nrcviii@reforma.org, so that we can take the appropriate action.

Conference chairs will contact both parties in an incident, the user reporting the incident and the reported violator. Confidentiality may restrict details of issue resolution. The gravity of the offense will dictate consequences that range from discussing the topic at hand to full suspension from Conference activities. If violators receive a suspension, the duration will be clearly communicated in writing.

Unacceptable Behavior is defined as:

  • Harassment, intimidation, or discrimination in any form.

  • Verbal abuse of any attendee, speaker, volunteer, exhibitor, service provider, or other meeting guest.

  • Examples of verbal abuse include but are not limited to, verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, migratory status, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or threatening or stalking any attendee, speaker, volunteer, exhibitor, service provider, or other meeting guests.

  • Disruption of presentations during sessions or at other events organized by REFORMA or our partners during the Conference. All participants must comply with the instructions of the moderator, Conference Committee members, or event staff.

  • Participants should not copy or take screenshots of presentations, materials, Q&A or any concurrent session activity that speakers or presenters indicate is sensitive, confidential or proprietary.

  • Participants should refrain from posting content online and via social media that might defame, negatively affect, or otherwise cause harm to individuals or institutions.

It is important to note that while this document attempts to be comprehensive, violations, whether with the "letter of the law" or "spirit of the law" are prohibited.

REFORMA reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident of unacceptable behavior, and the right to prohibit attendance at any future Conference function.

Photo Release

I understand that there may be photos and videos taken while participating in or being in close proximity to conference activities and events. REFORMA, the Steering Committee, and the Public Relations Committee, their partners and sponsors have my permission to use these photos on social media, websites, and other marketing materials for future conferences or related to the mission of REFORMA.

If you would prefer to not appear in conference or event photos, please email the Logistics Committee at nrclogistics@reforma.org so that we can place a special marker on your badge.
